Olive Notebook: Plant Journal (the "App") is an app that stores and uses users' records on their devices. No account registration is required, and users' records are not stored on the operator's servers. The App does not collect information for the purpose of tracking user activity and does not include advertising SDKs or analytics SDKs.
The App stores the following information on the device. This information is entered or imported by the user and cannot be viewed by the operator.
For each permission, the App requests authorization on an OS confirmation screen immediately before the user uses the relevant feature. The App can still be used without granting a permission, except for the feature that requires it. Permissions can be revoked at any time in the device's Settings.
The App does not transmit information off the device. Care Cards (QR codes) and exported files are shared only when the user selects a recipient in the share sheet.
The App does not provide a feature for transmitting information to an AI service.
The current version of the App has no paid features or charges.
Users can export records and photos as a backup file and restore them. Users can also export them in a format readable by other apps (neutral format) or export a Growth Album (HTML). Users are responsible for managing exported files.
Records and plants are moved to Recently Deleted and are permanently deleted after a set period (they can also be permanently deleted immediately). All data on the device can be deleted from Settings.
If the App is deleted from the device, all records on the device will be lost (excluding backup files exported by the user).
Records on the device are retained until the user deletes them. The operator does not retain users' records. If the operator receives an inquiry, its contents (email address, message, and attachments) are retained for the period necessary to respond and are then deleted.
The operator does not sell or provide users' records to third parties. Information is transmitted to the recipients described in Sections 4 and 5 (Apple and AI providers) only when the user uses the relevant feature.
The App is not designed or advertised for children. The operator does not collect information about children.
If this Policy is changed, the changes and their effective date will be shown in the App or on the public website. The operator will not silently add the use of information for a new purpose to an existing consent.
Cloud AI features are optional. They can be used only when the user has given Basic Cloud AI Consent and, after reviewing the content in the pre-send preview, chooses to send it.
### 13.1 Information Sent
The App sends the following information for Cloud AI features.
If the user does not give Photo Sharing Consent or Regional Information Sharing Consent, the corresponding information is not sent.
### 13.2 Information Not Sent
Precise location information, names, contact information, device identifiers, and purchase information are not sent to OpenAI as input for AI processing. EXIF and GPS information is removed from photos.
### 13.3 Recipient, Retention Terms, and Purpose of Use
The recipient is OpenAI. Information is sent through the operator's own gateway. The current providerRegistry values are Provider `openai`, Model `gpt-5.6-luna`, and retention terms `provider_zero_retention_if_available`. The retention terms indicate that the Provider's zero retention is used when available.
Information sent is used only to create suggestions, based on selected records and photos, for the user to review. The pre-send preview displays the records being sent for the current request, the photos being sent for the current request, information not being sent, the destination Provider, retention terms, purpose of use, credits used, and options to edit or cancel.
### 13.4 Changing and Withdrawing Consent
Basic Cloud AI Consent (Consent A), Photo Sharing Consent (Consent B), and Regional Information Sharing Consent (Consent C) can be changed or withdrawn in Manage AI Consent. Withdrawing Basic Cloud AI Consent also withdraws Photo Sharing Consent and Regional Information Sharing Consent and stops subsequent transmissions to Cloud AI. Transmissions completed before withdrawal cannot be canceled.
### 13.5 Credits
AI Starter grants 10 credits once. Plus AI grants 40 credits every 30 days and allows up to 20 credits to roll over. The maximum balance is 60 credits. The number of credits used by each feature is shown in the pre-send preview. Credits are used only when a successful result is received and are not used if the request fails.
